Audit Standards are tools utilized by auditors and safety inspectors to review the safety practices of organizations to assure they are abiding by all safety legislation and regulations. They are specific by industry, and documentation outlining the audit protocol is typically provided by regulatory bodies such as Energy Safety Canada.
Workhub provides an Audit Standard component that allows you to complete a trial audit before facing an actual audit from an auditor. Our Audit Standards include an itemized checklist with criteria, tips, and points as you would find them in an official audit.
This component allows an organization to:
Compare your existing program with a target protocol (and assess for gaps or shortcomings)
Perform an internal review (required annually for some audit protocols)
Organize documentation for a 3rd party (external) auditor (and allow quick and easy access)
Important Note:
It is important to note that completing an Audit Standard through Workhub is not equivalent to undergoing an audit by an approved auditor. The Audit Standards within Workhub are intended for preparation for an audit rather than replacing an audit.
Enabling and Adding Audit Standards:
From your Admin dash, click into the Audit Standard component. To enable the component, select the Settings tab from the navigation ribbon along the top of the window. Use the toggle on the page to Enable the component.
By default, there are no audit protocols enabled for new accounts (the audit standards which you work toward will generally depend on your industry and jurisdiction). In the top right corner of the Audit Standard page, choose Add Audit Standard.
The system will present you with a list of all standards/protocols available in the Workhub library. Check the box(es) of the Audit Standards you want to use in your organization.
NOTE: If you do not see an audit protocol/standard for your industry or jurisdiction, please send a support request or email to support@workhub.com with a link to the website where the complete list of requirements may be obtained. We will upload the standard in a timely manner.
After you have checked off your desired Audit Standards, hit Add. The popup will will close, and your list of Audit Standards will now reflect the item(s) you have added.
If you wish to remove any Audit Standards from your list, simply click into the Standard and choose the Disable option in the top right corner.
Using Audit Standards:
Unlike most other component in Workhub, the Audit Standards component is only accessible from the Admin dash. It will not appear on the Worker dash at all, so all steps to do with using Audit Standards are undertaken from your Admin dash.
To begin an audit using an Audit standard, your first step is to open the standard and click into one of the subsections in the list. It is recommended that you begin at the top and work your way numerically through each section.
The item page will display the criteria for the subsection, as well as the audit tips for successfully fulfilling the criteria. On this page, you can add any Notes, Statuses, or Links that would be pertinent or useful using the Add Comment or Add Link buttons.
When you are ready to assess that subsection in total, you can use the Update Status button to enter a Status, a Score, and a Comment, and to attach any relevant documents. A Status cannot be edited after you have hit Continue, only deleted and started anew, so be sure you have your information correct.
A completed Status listing will show the Status Type, the Date, Posted by, the Score, and any Comments or Explanations for it. It will also show if any Documents were attached, and clicking the Document icon will download the document itself.
The Audit Standard page for each standard will update with each Status update you create within it. The main Audit Standards menu will also change its display to reflect any changes in the standard.
You can download your Audit Standard using the Download button in the top right corner of the screen.
