Depending on your overarching configuration rules in the Bulletin Settings tab, workers are either marked as done automatically when the timer finishes, or a manual Mark as reviewed confirmation button illuminates for them.
How to Create a Bulletin
Open the Component
Go to your Admin Dashboard.
Under the Communication & Collaboration category, click the Bulletins Component.
Click the Add Bulletin button in the top right corner.
Fill Out Subject & Core Details
Subject: Type a clear heading. This text serves as the main title workers see on their dashboard feeds.
Category: Tag the post under a specific theme to group similar topics together and simplify future administrative list filtering.
Importing Existing Content (optional): Click the Import button below the text box to copy structural details from a previous post or saved draft. A pop-up will guide you to pull over the contents, attachments, recipients, or any combination of the three.
Populate Content & Attach Files
Content Body: Type your message in the main editor text box. You can format the text using the top toolbar options, or copy and paste text and images directly into the pane.
Attach Files: Use the Attachments box to link supporting documentation. Click Attach File or Add to upload files.
Storage Limits by Plan:
Standard Plan Subscribers: Maximum file upload size is 10MB per file.
Free Plan Subscribers: Maximum file upload size is strictly limited to 500KB per file.
Accepted File Extensions: The platform explicitly allows the upload of pdf, jpg, jpeg, tif, tiff, gif, png, xls, xlsx, xlsm, doc, docs, docx, txt, rtf, and csv formats.
Configure Bulletin Settings & Priorities
On the right side of the editor screen, customize the priority, urgency levels, review constraints, and contact details:
Set the Priority Level & Urgency Alerts
🔔 Required with Alert (Post Alert): Use for highly urgent, time-sensitive notices.
Alert Duration: Select an alert lifespan window (24, 48, or 72 hours).
Visual Indicators: A red bell icon or red triangle alert symbol appears next to the item in both Admin and Worker lists.
Worker Interface: Workers see an urgent alert banner in the top navigation bar of their dashboard and a notification icon on their Bulletins tile.
Within their bulletin list, a solid red bar locks on the left side of the bulletin card and remains highlighted even after they read it. Once the alert duration timer expires, the status automatically downshifts to standard Required.
Required: Use for mandatory notices that must be read but carry no immediate countdown urgency. It displays with a red asterisk and remains active until its specific archiving parameters trigger.
Optional: Use for "nice-to-know" or non-essential updates. It carries zero compliance weight, bypasses mandatory dashboards, and displays with a dotted grey circle.
Establish Worker Review Timers
Review Time Bar: Set the mandatory viewing threshold by adjusting the selection slider from No Review Time up to 60 seconds (1 minute). Workers are blocked from achieving a completed status until this countdown timer fully expires.
Appoint the Bulletin Contact
Assign the specific party responsible for the bulletin's content and any subsequent field follow-ups.
This field defaults automatically to the admin account profile creating the post, but you can clear the text string to select any alternative employee from your organizational directory. Once published, this contact card is linked inside the post for immediate worker reference.
Target Recipients & Delivery Channels
Target your communications by choosing exactly which sectors of your workforce receive the broadcast notices.
Filter the Audience Matrix
Switch between the Recipients to choose how the message is targeted across your company.
All Workers: Universally targets the entire organization. Workhub displays the total worker count directly under the toggle.
Select Workers: Targets precise company segments. Click Add Recipients to launch the audience mapping pop-up:
Locations Step: Check off the specific Divisions or physical locations that need the notice, then click Continue.
Positions Step: Check off the precise job descriptions or roles (e.g., Forklift Operators, Shop Supervisors) that require the update, then click Continue.
Verification Step: Review the final aggregated name list of included employees. Use the Back button to adjust mistakes, or click Add to lock in the audience list.
Note: You must select a valid combination of both Locations and Positions for a bulletin to be considered deliverable by the system.
🔒 Standard Plan Feature: Limit Access by Location or Division restricts administrative visibility.
If your admin profile has access limits applied, you will only see, add, or edit target recipients who fall directly within your exact location or division. To message outside your boundary, an unrestricted Admin must publish the post (though you can still be named as the Bulletin Contact).
Choose Delivery Channel(s)
Choose how the system alerts workers outside of the web platform:
Notify by Email: Dispatches an immediate summary notice with a direct login link to the worker's email inbox.
Notify by SMS: Sends a text message alert directly to the employee's registered mobile device.
Send Me a Copy: Toggle this switch to On if you wish to receive an identical email/SMS broadcast copy of the bulletin yourself upon release.
Note: These checkboxes may be hidden or grayed out if text messaging or automated emails are disabled globally in your master account settings.
Post, Schedule, or Draft
When you are satisfied with the contents and settings of your bulletin, click Save Bulletin or navigate to the options panel in the top right corner to reveal the post options:
Option A: Post Now
Publishes the announcement immediately. The bulletin hits the active bulletin feeds instantly, and a green success notification pops up in the bottom right corner of your screen along with confirmation messages for each checked email and SMS network.
Option B: Schedule Post Later
Select the Schedule Post or Later option.
Use the calendar pop-up to select a future day. (Past dates are strictly locked and rejected by the system).
Use the Time selector to set the exact hour of publication, then click Schedule.
Scheduled bulletins display in grey italics on your main admin dashboard grid until their target release time.
While waiting in the queue, an informational banner rests across the top of the post. Click Revert to Draft or Reschedule at any time to pull the item back.
Option C: Save as a Draft
Click Save Draft or check Save as a Draft. The page will remain unchanged except that the save button will dim to confirm your progress is safe. The document is moved to your dedicated Drafts tab, where any admin can reopen, edit, or post it when ready.
Pro-Tip (Templates): Saved drafts can function as reusable frameworks for repeating announcement formats. By keeping a master template saved inside the Drafts folder, you can quickly clone its layout structure by clicking the editor text field Import tool when spinning up a brand-new bulletin campaign.
Administer Active Bulletins & Audit Compliance
Open your main Bulletins component to manage live entries, review audit data, or adjust audiences on the fly.
Note: If your profile has Location or Division limits, you will see a filter restriction banner at the top of your screen, meaning you can only audit posts targeting your own site.
Worker Review Tab
From the Admin view of the Bulletin component, click into any active bulletin row to reveal the administrative oversight tabs.
Worker: Displays worker names, locations, compliance metrics, and sign-off timestamps.
Compliance Status:
🔴 To Do: The notice is outstanding.
🟢 Done: The worker has successfully met the required reading threshold. The precise date of review appears underneath in grey text.
Worker Activity Inspection: Click the menu icon (three dots) at the end of any worker row to view their individual activity history (when the item hit their feed, notification dispatch success rates, or system transmission error logs).
Targeted Reminders: Click the Notify Missing button to open a configuration window. From here, blast out email and/or SMS follow-ups exclusively to the subset of workers sitting in To Do status.
Data Reporting & Exports: Click the Download Report or Download icon in the upper corner to export a readable roster report.
Activity Feed Tab
The Activity Feed in located on the bottom right corner of the Bulletin overview tab and builds an absolute, immutable audit trail for the bulletin. Every adjustment is recorded transparently:
Content & Setting Edits: Tracks textual revisions or configuration modifications.
Recipient Shifts: Logs when your audience matrix expands or contracts.
Broadcast Confirmations: Records details of email or SMS notification dispatched.
Immutable Review Retention: Critical Rule. If a worker reads the bulletin and is subsequently removed from the assignment group, their metrics vanish from the standard Reviews tab. However, the Activity Feed permanently logs their historical signature, protecting your data during legal safety audits.
Comments / Pending Comments Tab
Manage open dialogue or responses tied directly to your bulletin
Threaded Replies: Click the Reply option beneath any note. Admin responses populate on a soft grey background and display slightly indented for clear conversational hierarchy.
Moderation Settings (Worker Portal Visibility):
If Pre-Approval is Enabled: A gold circle with a numerical notification counter appears on the Comments tab. Opening the tab displays submitted records stamped as Pending Approval.
Click Show to publish the entry to the bulletin feed.
If Pre-Approval is Disabled: The gold numerical indicator vanishes. All worker remarks auto-publish directly to the bulletin instantly without needing admin verification. You do not need to share them; comments appear by default.
Hiding Comments: You can choose to hide comments if you don't want your workers to see them by clicking the Hide option.
Admins will be able to see these comments as they will be flagged red and stamped.
Hidden comments can be made visible at any point by admins. This action will make the comment visible for workers. To do this, just click the three dots, followed by Show
Removing Comments: If a comment requires moderation later, click the three dots icon and select Remove.
Best Practice: We highly recommend choosing Hide over Remove. Restrain from clicking remove unless content is explicitly inappropriate or repetitive, as maintaining unedited feedback archives remains vital for compliance record-keeping..
Configuring Archiving and Unarchiving Schedules
The archiving configuration controls when an active post drops off active feeds and drops into your historical database. Archived entries retain all original metrics, logs, and attachments for safety audits, but they disappear entirely from worker screens and stop generating compliance requirements.
How to Archive an Item
Manual Date Set: Click into any individual bulletin, locate the Archive On field, and use the calendar picker to specify a custom day for the bulletin to lapse.
Instant Archive: Click the Archive button or click the menu icon (three dots) in the top right corner of the Archive On card to immediately force an entry into the archives.
Global Defaults: Your base archive lifecycle is dictated by settings located inside your master Settings tab. Quick milestones include No Expiry, 1 Month, 3 Months, 6 Months, or 12 Months.
How to View and Restore Archived Bulletins
If a notice lapsed automatically or was shelved in error, you can restore it to service from your historical archive stack:
Navigate to your main Admin Bulletin List.
Click on the Archived Tab on the top row
Find the bulletin you want to Unarchive and click on the row
Click the blue Unarchive button on the top right of your screen, select it
A green popup bubble appears at the bottom right of your screen advising you Bulletin unarchived
The document will instantly vanish from the archives and populate back onto the live dashboard grid, restoring visibility on worker feeds.
Activity feed shows the date and time it was changed
Worker Status Note: Your audience targets remain identical to when the notice was previously active. If you need a fresh set of workers or new branches to interact with the message, remember to jump into the Recipients section to add them.
Fresh Countdown Schedules: Upon hitting unarchive, the platform wipes the old expiration parameters and sets a brand-new Archive On date calculated from your system's global tracking default, starting from the exact day you hit restore.
Component Control & Global Preferences
The master Settings tab controls how the Bulletins component behaves at an organization-wide level. From here, you can toggle the system on or off, configure baseline review parameters, adjust delivery channels, and manage engagement rewards.
Disabling / Enabling the Component
Use the Disable/Enable master toggle at the top of the Settings page to control component visibility.
Data Preservation Note: Turning off the component will never delete your data. When you re-enable Bulletins in the future, all your historical announcements, draft archives, review metrics, and audit feeds will instantly restore exactly as you left them.
Global Configuration Matrix
Administrators can tune the following core options within the Settings control page:
Worker Comment Approvals: Toggle Yes or No. Determines whether comments submitted by workers are held in a Pending Approval state or automatically posted directly to active workforce threads.
Default Worker Review Time: Set the baseline window workers must keep an announcement open before they can pass. Options include No review time, 10, 20, 30, 40, or 50 seconds, or 1 minute.
Review Requirement: Toggle Yes or No to specify whether workers must actively click a manual validation button to confirm they have reviewed the bulletin materials.
Default Archive Lifecycle: Dictates the automatic expiry period for all newly built bulletins before they auto-lapse into your historical logs. Choose from No expiry, 1 month, 3 months, 6 months, or 12 months.
Engagement Rewards & Points Allocation: Link communication data to your company incentives system:
Broadcast Channel Toggles: Select Yes or No to explicitly Allow bulletins to be emailed to workers and Allow bulletins to be sent as text messages (SMS) to workers.
Connecting Bulletins to Worker Rewards
Link communication directly to your company incentives to boost employee engagement and accountability. When configured, workers accumulate points for reading updates.
Eligibility Control
In the Settings tab, you can determine which notices award payouts. Restrict rewards to Required bulletins only to incentivize critical updates, or expand to Required + optional bulletins to reward organic workplace learning.
Point Calibration Matrix
Set the specific reward weighting for completing a reading task or acknowledging an alert. Point selections are flexible and range from No Points up to a maximum of 100 points per single bulletin.
System Log Integration
Once a worker successfully clears the required reading timer and/or completes the mandatory verification checkmark, the system automatically marks the record Done and applies the designated point(s) to the worker's Reward Points.
