Getting your team to participate in your organization's safety program can be a tough task, as safety training isn't the most riveting topic. In cases like that, we think a little incentive goes a long way. Our Rewards component aims to provide some motivation for your team to pursue the completion of their needed training. What's better than the thought of something new to take home?
To get started with our Rewards component, start on your Admin dash and click into the Rewards tile.
Settings
In the Rewards component, your first step will be to Enable the component. We start Rewards off as Disabled by default to avoid indicating that companies are intended to use Rewards from the get go. When you click into the component, use the toggle on the right side of the page to get started.
After you've toggled the component to Enabled, review the settings for Rewards found on the same page. They're important to review, as some of the decisions will affect invoicing for Rewards for your organization.
You can make any changes you would like on this page. When you're ready to finalize your choices, click the Save button in the top right corner of the page. After doing so, the other tabs in the component will become available to you!
Products
After enabling the component, the next place you should review is the Products tab. This tab houses all the information for the products available in the Workhub catalogue.
On the landing screen for Products, you'll see the types of items available in the catalogue. The toggles in the bottom left corner of each category allow you to enable or disable entire types if you so choose.
β
If you would like to see the products available within each type, click the Select Products option in the bottom right corner.
In each type, you'll see a box on the left with the possible categories. You can click each category and review the included items. The main body of the page will populate with the items in that category. You can use the toggle for the category or for the subcategories of items to include or exclude them in the choices for Rewards for your Workers.
If you make any changes, be sure to click the Save button in the top right corner!
Point Redemptions
Once your Workers have accumulated points, they can begin redeeming them for items in the Rewards catalogue. You as the administrator can use the Point Redemptions tab to view the redemption requests, approve or deny those requests, and review the history of the requests for your account.
In the body of the page, you'll see the workers who have submitted redemption requests. You'll see their name, the date the request was submitted, their Location, the item they've redeemed for, the point value of that item, and the order status.
The order status column is important to review, as any pending redemption requests will show there with two buttons for you to choose from - a thumbs up or a thumbs down! You can approve a request using the thumbs up and deny a request using the thumbs down.
After choosing to approve or deny a request, the status for that order will change. When you have approved an order but the order has yet to be fulfilled by the Workhub team, the status will change to Shipment Pending, and will include the date the request was approved.
Once the order has been shipped by the Workhub team, the order status will change to Shipped.
If an order has been denied by an admin, the status will change to Rejected.
If a Worker has changed their mind about an item and has cancelled a redemption request they had submitted, the status of that item in the Point Redemptions tab will change to Cancelled.
You can use the Download Report button in the top right corner of the screen to download a report of the redemption history, or a report of the tax benefit information for each Worker based on their orders.
If you would like specific individuals to be notified when a Worker submits a redemption request, you can click the Redemption Alert button in the top right corner. In the pop-up that appears, check the box next to the person you want to receive the notifications. Use the Frequency tab to select how often you want those notification emails to go out, and use the Redemption Type dropdown option to select if you want them to receive notifications for only items that require approval or for all changes in the list.
Permissions
The Permissions tab, like elsewhere in Workhub, controls who has visibility and editing access to that particular component.
β
Within the Permissions page, you will see several possible Permissions listed in the left most column. You'll also then see columns for Default Worker Permission, Default Admin Permission, and Custom Permission.
Only the Permissions listed with the Admin bar on the left will apply to the Admin Default or Custom Permission types. These permissions cannot be extended to your Worker Default.
β
Check the boxes for the permissions you want each default to have, and click the pencil icon for each line to edit that specific permission for your Positions that are set to a Custom permission type.
Be sure to click Save Permission when you're done!
Please Note: At this time, the Points History and Scratch Cards components are also controlled by the Permissions and Settings in the Rewards component!
