Workers will often need some reminding to complete the tasks assigned to them, and digital tasks are no different! Workhub allows you to send reminders to your Workers and supervisors to let them know there are items needing their attention in the software.
To set up your Compliance Reminder emails, start on your Admin dash and click into the Account component.
In the Account component, navigate to your Settings tab.
For Workers:
In the Settings tab, you'll see a section called Notifications. The first setting, "How often should reminder emails be sent to Workers indicating their lack of compliance?" is your setting to send reminder emails to your Workers. You can choose from several intervals for these reminders, including:
every 14 days (bi-weekly)
every 28 days (monthly)
every 56 days (bi-monthly)
every 84 days (quarterly)
Disabled (no reminder)
If you choose Disabled, workers will not receive any notifications about their lack of compliance. All other selections will send an email from Workhub to your Workers at the chosen interval about what items there are remaining for them to finish in their account.
Hit Save Settings in the top right corner once you have made your selection.
Workers
The emails sent to Workers from Workhub will look something like this:
The email will contain information for them to use to gauge whether they have more work to do! At the top of the email, they will receive a message that includes the total of the items have have completed and a total of the items they have left to do. They will also receive an update about the number of Rewards points they have accumulated, if your organization is using Rewards.
If there are items needing completion by the Worker in their account, they'll appear in that email as the component with missing items and red text indicating the number of items missing.
Workers with Admin Permissions
Finally, for Workers who have responsibilities both as a Worker and as an Admin (those with Admin Permissions), the email will contain information for their personal responsibilities and other outstanding items requiring an admin's review.
With each of these different formats, the Sign In button at the bottom of the email will allow a Worker to sign into their account and attend to any items requiring their attention.
For Supervisors:
Supervisors can also be notified of their direct reports' compliance! This helps supervisors keep their finger on the pulse of the progress of their direct reports and make sure compliance within their team is pursued.
The second setting in the Notifications section is, "How often should reminder emails be sent to supervisors listing their direct reports' module compliance and system reminders??" is your setting to send reminder emails to Workers who are listed as Supervisors of other Workers. You can choose from several intervals for these reminders, including:
every 14 days (bi-weekly)
every 28 days (monthly)
every 56 days (bi-monthly)
every 84 days (quarterly)
Disabled (no reminder)
If you choose Disabled, supervisors will not receive any notifications about their direct reports' lack of compliance. All other selections will send an email from Workhub to your Workers at the chosen interval about what items there are remaining for their direct reports to finish in their account.
Hit Save Settings in the top right corner once you have made your selection.
When a user receives an email from Workhub regarding their Direct Reports, it will look something like this:
In this email, a supervisor will be able to see the name and overall compliance percentage for each of their direct reports. They will also be able to see a bar indicating the percentage complete each worker is in the compliance components within which they have assignments. Any reminders for upcoming or past due items will show on the right side for each direct report listed.
Other Considerations
Two other settings can be tailored for your account: the day of the week those notifications are sent our, and what time of day those emails are sent out. These can be important factors for communicating best with your team - sending out compliance reminder emails on a Saturday night probably won't get the same attention as an email on a Monday morning might, so set these as to what you think would best reach your team.
