How to administer Orders as an Admin

Our Orders component is a tool to review all the orders generated by your Workers through both Rewards and Anniversaries in one easy spot!

To get started, click into the Orders component on your Admin dash.


Within Orders, you will see a list of all of the orders placed by your Workers, including orders from the Rewards component and from the Anniversaries component.

If your organization is not using one of those components, information from that respective component will not populate within Orders.

By default, the list will be arranged by date with most recent orders appearing at the top of the list and oldest orders at the bottom of the list.


Each line will contain information about the order, including:

  • an Order number

  • the Date the order was placed

  • the Worker who placed the order

  • the Worker's Location and Division

  • the Items in the order

    • the image associated with each item indicates the component the order originated from - Rewards or Anniversaries

  • the Order Status, including the following possibilities:

    • Pending: as an admin, you can approve or reject this order

    • Processing: this order has been approved by an admin and is being processed by the Workhub team

    • Shipped: this order has been shipped by the Workhub team to the Worker

    • Cancelled: this order was cancelled by an admin or the Worker

    • Returned: this order was returned by the Worker

If needed, you can download a PDF or CSV of the list page and its details by clicking the Download option in the top right corner of the screen.

For orders with multiple items, you will see a total in the Items column rather than a list of the included items. You can click into each line to see the details for that particular order.

Each Order will include the information from its listing on the list page as well as the shipping address selected by the Worker and an Activity Feed to record all changes made to the order. The Activity Feed can be maximized to see details.

Managing Orders

Clicking into orders that have Pending items will allow you to approve or reject the ordered items. Clicking the Menu icon (three dots) for a particular item will bring up the available options. Click Approve Item to approve the item choice or select Cancel Item to reject it.

You can also simply click the Thumbs Up icon in the list to approve all items in an order in one go!

For orders that are listed as Processing, admins can request to cancel the item by clicking the Menu icon (three dots) and choosing Cancel.

Orders that have already been Shipped have been prepared by our fulfillment team and will be delivered to your workers' shipping address. Because they are already in transit, the status of these orders cannot be changed.

Cancelling an Order

Choosing to cancel an order will prompt you to enter some details through a pop-up. You will be asked for a reason for cancellation and to confirm if you would like to refund the points for the order to the Worker (if a Rewards order) or allow for reselection (if an Anniversary order).

Cancellation of an order cannot be undone, so please ensure you are cancelling the correct order!

After canceling an item, its status will change to Cancelled. It will appear greyed out and struck-through.

The change will also appear in the Activity Feed, including the reason you provided for cancelling the item.

It is important to note that cancelling an Order that's in the Processing state does not guarantee a cancellation of the order!

Our Fulfillment team is hard at work each day to ensure orders are processed in good time and items are sent to Workers quickly. If an order has already been completed by our team and is in the process of being shipped, we cannot guarantee the ability to cancel that order.

Where else can I manage Orders?

The Orders component is an amalgamated resource for admins to simplify managing orders from both Rewards and Anniversaries. It's still possible to manage each of those components' orders individually! You can still manage Rewards orders from within the Rewards component and Anniversaries orders from within the Anniversaries component.

Within Rewards, redemptions that need admin review will appear in the main Redemptions tab, while within Anniversaries the selected items will appear under the Selections tab.


Permissions and Access

Access to the Orders component is controlled through the Permissions for Rewards in the Rewards component.

Admins will need View permissions for the Admin - Administer Rewards permission level to see Rewards orders recorded in the component. They will additionally need the Insert and Update permissions to make changes to the orders, including approving and cancelling ordered items.
Similarly, admins will need View permission for the Admin - Administer Anniversaries permission level to see Anniversaries order recorded in the component. They will additionally need Insert and Update permissions to make changes to the orders.

Workers will need the View permission for the worker level permissions in Rewards and/or Anniversaries to see the component on their Worker dashboard.
