How to submit an inspection as an Admin

These are the steps to submit inspections completed on paper or digitally from the Blank PDF Checklist document. This alternative will help inspections with limited internet or if there may be interruptions during the inspection resulting time outs.

There might be times when an Admin may be required to submit inspections that were completed on paper or have the need to edit a previously submitted inspection. Now you have the flexibility to do just that.


Submit Inspection

Prerequisites & Permissions

To submit inspections, you must have Admin Default or Custom permissions. This functionality is not available from the Worker Dashboard.

Before starting, ensure all required fields on your Blank PDF Checklist are filled out. This includes the Completed By field, mandatory comments, and photo attachments (if applicable).


⚠️Warning

Missing required information will prevent a successful submission, and you may have to restart the form.

Step-by-Step Submission Guide

First, log into your Admin Dashboard and navigate to the Inspections component. You can submit an inspection using either of the two methods below:

Method 1: From the Inspection Types Tab

  1. Select or search for the specific inspection name.

  2. Click on the Submission tab.

  3. Select Add Submission.

Method 2: From the Submissions Tab

  1. Go directly to the Submissions tab.

  2. Select Add Submission.

  3. Select or search for the specific inspection name.

  4. Click Continue

💡Important Verification Step

Whichever method you choose, always verify you have selected the correct inspection by comparing the name printed at the top of your downloaded Blank Checklist with the name displayed in Workhub.


Entering Form Data

    Whichever method you choose, always verify you have selected the correct inspection by comparing the name printed at the top of your downloaded Blank Checklist with the name displayed in Workhub.

  2. Input Header Details

    Enter all information from the top of the page into Workhub. The corresponding line items are located on the right side of the screen (or at the top on a mobile device).

  3. Select Assets or Locations

    When entering assets or locations, you must select an option from the drop-down list. This is not a free-text field. Simply begin typing a name to automatically filter the results and find the matching asset or location

  4. Set the "Done By" Field

    The Done By field identifies the worker who performed the inspection, not the administrator submitting the form. The system records both names to show who conducted the inspection and who entered it.

    Worker Submissions: For inspections submitted directly by a worker, both fields will display the same name.

    Dashboard Visibility: If the worker selected in Done By is not the registered operator of the asset, this submitted inspection will not be visible on that worker's dashboard.

  5. Enter Checklist Results

    You can now begin entering all individual checks and their corresponding comments into the digital version.


Upload all photos

Free version has limited upload file size.

Action Items & Form Submission

  1. Create Action Items (If Applicable)

    Action items can only be created from the administrator side using the web version. Because of system limitations, you cannot efficiently record or create action items from a blank checklist.

  2. Submit the Form

    Once you complete all required checks, click Submit.

Important: If any checks are still missing, the Submit button will remain grayed out and inactive until they are completed.
