Downloaded Blank PDF Check Lists can be completed in remote areas when internet access is limited, you can either complete the inspection digitally by filling the pre-downloaded PDF directly from your phone or tablet or by printing the document and filling by hand.
Blank Inspection
There are two ways to fill forms, one is digitally using your tablet or smartphone, or physical printed copy. If filling digitally simply open the PDF Inspection from your device and follow the steps for Android or IOS below.
Device Instructions
Android:
Find the folder where you saved the PDF in Android it is usually in:
My Files or File Manager
Download Folder
Open the PDF
By default it will open in Acrobat Reader
Click Fill & Sign
IOS (iPhone):
Go to the location of the downloaded PDF
Open the PDF
By default iPhone will open this file in the Preview APP
At the bottom of the screen click the Show Form Filling Toolbar option
This option will read the PDF and convert it into fillable fields (colored blue)
Click on the blue space and respond accordingly
iPadOS:
The steps to fill out are the same as IOS (iPhone) however, if you want to fill it up with an Apple Pencil or any other hand writing device (stylus) you can do so by selecting the Markup Toolbar located at the top of your iPad by selecting the pencil.
This way you can fill the Inspection using your Apple Pencil or stylus of your choice, using the native writing tools in your iPad (pen, pencil, eraser, marker etc.) you can also customize the color and size of these tools.
Tips to properly fill the form
Start from the top, entering the information in the top of the page. It is crucial to identify who performed the inspection and the characteristics of the asset or the location being inspected.
Asset or Location
This field needs to contain the name of the asset or location being inspected as it shows in Workhub. In the case of multiple assets that may look the same, they should have unique names as well as locations. If you are unsure which asset name or location you are to choose, please ask you supervisor or manager for clarification.
Odometer Reading
The odometer reading or Hours may be required depending on the Inspection type. If these fields are included in the inspection make sure you enter the numbers accordingly.
Done By
Enter the name in “Done By” the same as it appears in Workhub. This field contains the First and Last Name of the worker performing the inspection.
Date
Enter in here the date when the inspection was performed, not the day when it will be submitted. Avoid filling out the inspection for past or future dates. This may cause inconveniences for your company and they might have policies and procedures against these practices.
Time
Enter the time when the inspection was completed, consider including Time Zone if your company has multiple locations, or if required by your supervisor or manager.
Checklist
Once you enter the basic information, you can proceed with completing the inspection checklist.
Important!
Make sure you respond every single check on the checklist, otherwise your administrator wont be able to submit later on.
If a check requires you to type a comment or take a photo, it will be highlighted in red under every check in the comment, or photo field accordingly. If this text is not shown it means the comment or photo is optional.
These fields are required by your administrator, failing to provide this information will result in their inability to submit later.
If photos are required, make sure you take them, and then send these photos to your supervisor/manager to submit alongside with your filled inspection.
Submitting the Inspection
Inspections can only be submitted on the Admin Dashboard. This means that only specific individuals with the correct permission can upload them.

Otherwise, hand the filled form to your supervisor or manager to submit it in the system.
