What are Competencies?

Some terminology and basic concepts to get started with Competencies

Competency Assessments determine a worker's ability to perform a job safely. They list required skills and allow supervisors to evaluate performance through direct observation.

Workhub focuses on task-based competency. When creating a competency, name it after the specific task being assessed.

  • Examples: "Unloading a Skid Steer" or "Changing a Flat Tire."


Competencies vs. Procedures

It is important to understand how competencies differ from standard procedures:

  • Procedures: Focus on the "how-to" instructional steps of performing a task.

  • Competencies: Is the "how-to" with "Hands-on" Assessment of how accurately a worker follows those procedures during an observation. They may also include knowledge-based questions not found in standard instructions.

Note: Having a worker review a policy or procedure is part of your company's due diligence, but reading a document does not automatically make the worker competent.


Understanding Worker Status Colors

Just like other components in Workhub, worker compliance statuses use a distinct color-coding system:

  • 🔴 Red Status (Not Competent): Includes statuses like To do or Requires Supervision.

  • 🟢 Green Status (Competent): Includes statuses like Done or Instructor/Assessor. Also applicable for Prequalified workers.

  • 🔘 Grey Status (Optional): Indicates the status (if completed) of optional assignments


How to Manage Already Competent Workers

If your workers are already fully proficient in certain tasks, you do not need to start from scratch. You can use the Prequalification Tool and mark those specific workers as Competent or Instructor Assessor.

How to prequalify a worker:

  1. From the admin side go to the Competencies component

  2. Select a competency

  3. Click the Worker Compliance tab and select a worker from the list

  4. Click the + Add Prequalification button located in Assessment History section.

  5. Verify the Information and select the pre qualification level (Competent, or Assessor) followed by the pre qualification date and Notes. Once all information is added, click Save.

  6. You can then view or download the prequalification if needed. This will mark the worker as Competent and the status of the assessment will be Prequalified.


Status

There are different statuses that you will see in the Competencies component. There are Competency Status and its result, also Worker's competence Status and its result.

Competency Status

Competencies have different statuses, all start when the competency is requested, once it is requested it can be cancelled or completed by the assessor. These also include the Prequalified status.

The status will update accordingly depending the phase you are. The two statuses (requested and cancelled) are self explanatory. however, Completed is the one that must be well understood to avoid confusion.

Completed indicates that the Competency has been finalized disregarding its result. A competency can be completed but not specifically "passed" by the worker, or the status can be Completed but already expired, because there is no connection between the status of the competency itself and the current status of a workers competence.

Worker's Competency Status

Workers same as competency types, have different statuses that are tied to the Completed status of a competency type mentioned above. Which is the only one that will affect the worker's competence status. If the assessment is not completed yet, worker status will appear as:
