How best to assign your Inspection Types

Inspections can be confusing to assign - which Inspection Categories connect with what assignment method? Will my workers be able to access this Inspection? Who is this Inspection visible to if I have operators assigned?

We've put together a flowchart for admins to utilize when assigning Inspections to offer a bit of clarity (and to refer back to if you forget!)

Inspection Categories


Inspections can be created in four different categories or types. The choices include:

  • Vehicle

  • Site

  • Tool/Equipment

  • Other


These categories will dictate how the Inspection is assigned.

Inspections of the Vehicle, Tool/Equipment, and Other categories will be assignable by Asset Category.

Inspections of the Site, Tool/Equipment, and Other categories will be assignable by Location.


The Vehicle and Site categories are restricted for their assignment method - you don't get to choose how they are assigned and they default to their respective assignment methods.

However, the Tool/Equipment and Other categories allow you to choose your assignment method between either Asset Category or Location.


Assigning by Asset Category

If you have chosen the Vehicle, Tool/Equipment, or Other category for your Inspection, you will be able to assign your Inspection by Asset Category. Inspections are unfortunately not assignable by individual Asset - you can only assign by the larger organizational umbrella of an Asset Category.

In the Asset Category assignment screen, you'll see the left-most column populated with your Asset Categories:

Assignment of an Inspection by Asset Category allows you to choose how frequently you want your Inspection to be completed. The options include:

  • N/A: this assignment level means the Inspection will not appear for the chosen Asset Category

  • Optional: this assignment level means the Inspection will appear for the chosen Asset Category

  • Required Every: this assignment level means the Inspection will be required as frequently as you decide using the available fields. You can enter a numeric input in the number field, then select a length of time from the drop-down menu, which includes:

    • Days

    • Weeks

    • Months

    • Years

Show Inspection to All Workers for Asset Categories - On or Off?

There is an additional setting for each Inspection that will affect its visibility: the Show Inspection to All Workers setting for every Inspection you create allows to control if your Workers will be able to see this particular Inspection in the Inspection list. This setting is found in the Settings panel on the right side of the page for each Inspection you create.

When it comes to assigning an Inspection by Asset Category, the logic works like this:

  • if the Show Inspection to All Workers Setting is set to On: this Inspection will appear to all Workers with Inspections permissions

  • if the Show Inspection to All Workers Setting is set to Off: this Inspection will not appear to Workers even with Inspections permissions UNLESS a Worker is assigned as an Operator for an Asset in the assigned Asset Category

Following this logic, if you have an Inspection that you want to visible to all your Workers, choose the On setting for Show Inspection to All Workers.
If you have an Inspection that you want to visible only to a specific few Workers, choose the Off setting for Show Inspection to All Workers and assign your chosen Workers as Operators for the Assets you're inspecting. You can find a guide for how to assign Operators here.

Assigning by Location

If you have chosen the Site, Tool/Equipment, or Other category for your Inspection, you will be able to assign your Inspection by Location. Unlike assignment by Asset Category, assignment by Location doesn't rely on the larger umbrella of Divisions and is totally dependent on Location alone.

In the Location assignment screen, you'll see the left-most column populated with your Locations:

  • N/A: this assignment level means the Inspection will not appear for the chosen Asset Category

  • Optional: this assignment level means the Inspection will appear for the chosen Asset Category

  • Required Every: this assignment level means the Inspection will be required as frequently as you decide using the available fields. You can enter a numeric input in the number field, then select a length of time from the drop-down menu, which includes:

    • Days

    • Weeks

    • Months

    • Years

Show Inspection to All Workers for Locations - On or Off?

As with assignment by Asset Category, so with Assignment by Location: you can choose if your Inspection is visible to your Workers.

When it comes to assigning an Inspection by Location, the logic is slightly different from Asset Categories:

  • if the Show Inspection to All Workers Setting is set to On: this Inspection will appear to all Workers with Inspections permissions

  • if the Show Inspection to All Workers Setting is set to Off: this Inspection will not appear to Workers even with Inspections permissions

Unlike assignment by Asset Categories, there is no way in Workhub to assign someone as an Operator for a Location. As a result, you cannot assign Location-type Inspections to any particular individual Workers. They will appear to all Workers at a particular Location when assigned to that Location OR when Show Inspection to All Workers is set to On, but we don't have any special cases where it can be made available to select Workers when that setting is instead set to Off.
