How to make best use of our customizable tables

Updated over a week ago

We've introduced a table format within Workhub that allows you to control what columns and information you want to see when you use the page - and for each time you return to the page too!

We call this table format Virtual Scroll. Virtual scroll helps reduce the pain of pagination, allowing you to scroll infinitely through the items in your components. You can also control what columns you see, what order those columns appear in, how wide those columns appear, and you can sort the contents of the page by the column criteria too!

Right now, you'll see Virtual Scroll applied only on the Admin side of the software. It is present in most of the components within the Form Tools & Ongoing Tasks category of components (Action Items, Incidents & Hazards, Behavior Observations, Inspections, Safety Meetings, and Other Forms) and within all of the components in the Communication & Collaboration category (Surveys, Suggestions, Polls, and Whistleblower) as well. We will be rolling this format out through the software moving forward.

As an example, here is the Incidents & Hazards component with the Virtual Scroll table in place.

You can see the columns here include ID #, Tag, Event Date, Type, Submitted By, Open, and Action items. You can also see in the top left corner of the list a button called Add Filter and small button with three little rectangles within it. That button is called the Column Selector.

Clicking the Add Filter button will allow you to filter the list according to a host of criteria. The options will differ depending on the component you are within.

You can select any of those filters, outline your particular needs, and filter your list to find only the results that are relevant. You can stack filters too! For example, if you need to see Vehicle Incidents that occurred between January and June at a particular Location, you can apply all those filters and find what you need.

Column Selection

The Column Selector button allows you to control what you're seeing in the list.

You can use the blue checkboxes to include or exclude columns from your list, enabling you to only view the information that's pertinent to you! You can also click and drag each column in the list to rearrange how the columns are displayed on the page. To do so, simply click the six dots next to the column of your choice and drag that column to the position you want to see it occupy.

Though the Column Selector lists the columns from top to bottom, the arrangement of those columns will appear on the screen from left to right.

You can pare your column selection down to just one or two columns or fit in all the column choices, it's totally up to you! Including more columns will decrease the size of each column, so be sure to find a balance of information and readability that's right for you.

The inclusion or exclusion of columns in the list will have a dynamic affect on the list display. Columns will resize to accommodate additional columns or to fill space from removed columns in relation to the width of your browser window. If you shrink or expand your window, the columns will resize to fit the window.

You can also choose how wide particular columns appear in your list . To change the widths of columns, click the vertical grey bar between columns and drag it side to side. The column widths will be dynamic until you choose a width for at least one column. After setting that column width, your column sizes will not vary with window resizing or column selection. The system won't save your column widths, so you'll need to set them when you open the component up. If you'd like to reset the widths of the columns, back out of the list and reopen the component!

Three possible column options included

All possible columns included

If you decide that you don't like the columns you've selected, you can click the Reset option in the Column Selector to set the choices back to the default set by us for the list.

You will also notice a Pin option in the top right corner of that Column Selector. If you would like the system to retain the column selection you have outlined, you can click that Pin to save those settings! That setting will only apply to you as an administrator, and will not be set for any other administrators of the account, so it can be as personalized as you like.

After you've pinned your own selections, you'll see the pin appears as filled.

If you decide the pinned choices aren't what you'd like and you'd like to revert to the Workhub default choices, simply click the pin again (it will become hollow) and click the Reset option at the bottom of the Column Selector.

It is important to note you can only pin one set of preferred columns. It isn't possible to set multiple pinned choices and switch between them, nor can we revert your choices back to what they were several pinned sets ago.

Sorting by Column

In addition to the new functionality of the column selection and flexibility, you'll also notice that each column header has a set of arrows within it. These arrows will allow you to sort the list ascending or descending according to the column you've selected.

Different pages will sort differently based on what kind of information those pages contain. By default, most lists will sort alphabetically (first by header and then by items) from A to Z. Most submission lists will sort by Date by default. The newest submissions will appear at the top and the list will descend back through time.

Using the Sorting options as you go through the components you use regularly will help you become more familiar with their capabilities and how you can best use them!

The sorting you apply in your Columns will not be saved in your Pinned Column Selector choices, so you'll need to apply that sorting each time you use the component.

Scrolling

Another feature of Virtual Scroll is the persistence of your place in lists. In our previous table format, scrolling through a list and clicking into an item meant that when you backed out to the list again, you would be reset to the top of the page. With Virtual Scroll, you can now scroll through a list, click into an item, and close that item detail page out and return to the list where you had left off!

This should save admins a bunch of time that you would have previously had to spend scrolling up and down to reach your previous point of work.

As we roll out Virtual Scroll in other components, you'll be able to tailor more and more of the tables in Workhub to your preference. We hope you find the functionality useful!
